Northern Home Cleaning Policy

1. Pricing & Payment Terms

Our pricing starts at a base hourly rate & minimums allotted dependent on cleaning type and then is formulated based off the Property's individual factors; including but not limited to, location, measurement of area, if there are pets, and the type of cleaning is required.

Walk-through Inspection

Completed prior to initial services, a $50 service Fee applies, in addition to any other applicable Fee's.
An Estimate will be provided following the initial walk-through. Final payment will be invoiced electronically in conclusion of the service provided.

Service Agreement

Following the initial walk-through Inspection Clients will be supplied with a personalized service Agreement. This will include cleaning type selected, the area of your property being cleaned, cleaning frequency, as well as an estimate of appointment duration and an estimated cost of service. Final balance is sent electronically following each appointment. Clients that have an altered payment policy will have those payment terms with-in this service agreement. Clients will also be provided with our certificate of insurance.
Service Agreements must be read, understood and acknowledged prior to service.
*Service Agreements are updated as needed.

Payment Terms

Payment is due on the day of service unless an individual payment agreement is made and agreed upon.
Accepted payment forms:
Cash, Credit or Debit cards, Money Orders, & Checks.
• There is a 3% card processing fee for all card transactions.
• Returned checks will result in a $35.00 Fee applied to unpaid balances.
· Cash, Money Orders, or Check Payments must be received by Northern Home cleaning 72-Hours Prior to your appointment to ensure payment of services in a timely manner.
· Clients will be electronically invoiced if payment has not been received.
· Employees are prohibited to accepting any payment forms.

Travel Fee

Clients obtaining our services for property in Saint Lawrence County, NY will NOT be charged travel Fees.
The County’s subject to Travel Fees are:
Jefferson
Lewis
Herkimer
Franklin
Clinton
This fee is .65 cents per mile round trip. Final calculations will be added onto your service invoice.

Lockout Fee

If Northern Home Cleaning cannot enter your Property with-in 15 minutes of arrival or does not receive communication from the client with-in this time frame. There is a Full-Service Charge Fee of the estimate provided or the actual balance due.

Late Payment Fee

Payments not received on the day of service will incur late fees. You have 24-hours from your scheduled appointment. This is a fee of $25.00 per day that payment is late.
Northern Home Cleaning reserves the right waive part or all of these Fee's dependent on the particular situation, and its own discretion.
Accounts 60 or more days overdue, Northern Home Cleaning will take legal action to retrieve payment of total cost incurred during this duration, as well as legal fees charged to Northern Home Cleaning.

Additional Fees

If we find the Property has not been adequately prepared or is in non-typical condition (e.g., clutter and personal messes such as dishes, laundry or Trash pick-up); or we conclude your property requires a different type of cleaning.

We will provide notification of any changes to service and pricing before proceeding with the service. Final payment will be invoiced electronically in conclusion of the service provided.

2. Cancellation & Rescheduling

We understand that life is unpredictable, and that schedules change. To accommodate all clients and ensure the well-being of our staff, we have the following cancellation policy.

72-Hour Cancellation Notice

We require at least 72 hours' notice for any cancellations. If you cancel within 72 hours of your scheduled service, you will be responsible for paying 50% of the service fee.

Same-day Cancellations

When services are canceled on the scheduled day of service, the full-service charge will be charged to the Client, calculated from the estimate or actual balance due. In particular situations, Northern Home Cleaning reserves the right to waive part or all of this balance, upon its own discretion

Rescheduling

Requests to reschedule service is permitted 72-hours prior to your appointment, rescheduling is subject to Northern Home Cleaning’s availability.

These policies are REQUIRED to support the financial well-being of our Employees, helping them maintain their livelihoods and support themselves or their families. As well as ensuring Northern Home Cleaning's continued ability to provide consistent and reliable services.

3. Service Expectations & Preparation

To provide the best service possible, we ask that you inspect and prepare your property prior to services.

Client Responsibility

Please be sure your property is accessible, communicating method of entry at time of booking your appointment. Please be sure to have your driveway cleared of snow and ice. Your property must have working utilities (e.g., electricity, heating, cooling and water). Please be sure to remove personal items, valuables, and breakables from areas on the agenda to be cleaned.

Home Preparation

Our Cleaners work their best in properties that are not cluttered. When our team arrives and finds the property is not sufficiently prepared, we will notify you of any needed service and pricing adjustments prior to proceeding with the services.

*It is important to have your property conditions equal to or greater than the initial walk-through inspection to keep estimated or consistent pricing.

*Additional Charges Reminder*

Charges may apply if there are dirty dishes, trash, laundry, toys, or general clutter hinders the cleaning services being provided.

Pet Urine, Feces, and Vomit

We do not clean or handle pet messes such as urine, feces, or vomit. We ask that you ensure your property is free from pet messes prior to our arrival.

*Pets must be secured in a kennel, outside, or designated room that is not on the agenda to be cleaned for the entire duration of the service.

4. Supplies & Equipment

Northern Home Cleaning provides:

All necessary cleaning supplies.

Client Provides:

Preferred cleaning products or equipment, unless Norther Home Cleaning has such items on inventory.

5. Satisfaction Guarantee

Northern Home Cleaning strives to provide the best possible cleaning service. If you are not satisfied with our service, you MUST inform us within 24-HOURS. Your property will be placed on the schedule within 72 Hours of notification for reevaluation and corrections as needed.

6. Termination of Services

We value our clients and strive for long-term relationships. However, we reserve the right to cancel or terminate services without notice.
Potential reasons we would cancel or terminate services:

Failure To Pay

Payments not received on the day of service. Once payment is received, we will determine if your services will be reinstated.

Disrespectful or Dangerous Behavior

Any disrespectful, inappropriate, or dangerous behavior towards our staff is unacceptable and dependent on circumstances could result in legal matters.

Unreasonable Requests

Your expectations become unreasonable or are unsafe for our team.

Unsafe Conditions

Any Hazards that pose safety concerns for our team.

Infestations

Upon discovery of an infestation, Northern Home Cleaning will immediately terminate services until your home is treated by a professional who specializes in whatever type of infestation your property is experiencing. When your property is deemed free of the infestation, Northern Home Cleaning will reevaluate your property once provided with proof of extermination prior to service commencing.

Inadequate Utilities

Utilities required for service are:
• Electricity
• Heating
• Cooling; central air, A/C Units, ceiling/standing fans, Windows with opening mechanisms.
• Warm Water

Associated Fees

If Northern Home Cleaning needs to cancel services due to any above-mentioned reasons, clients are responsible for paying for the appointment in full. Calculated from the Estimate or actual Balance due.

Inclement Weather/ NHC is Understaffed

If it is too dangerous for our Team to commute to your property, or we are understaffed, Northern Home Cleaning will cancel the service at no charge to you. Dependent on NHC's availability; your appointment may be rescheduled.

7. Mobile Laundry Services

Clients electing Mobile Laundry Services will be required to complete a Mobile Laundry Service Intake Form.

When:

Weekly & Bi-weekly schedules available
Pick-up: Fridays
Drop-off: Sundays

How:

Provide instructions to Northern Home Cleaning prior to service on where the laundry bags will be located for pick-ups and instructions for drop-offs.

NHC Laundry bags

Is a required purchase for service.

Laundry Service includes:

Washing, Drying, and Folding of regular clothing & linens.

Northern Home Cleaning does not provide specialty services for delicate or sentimental items. Northern Home Cleaning is not responsible for any damage to laundered items.

8. Photography & Video Release

Northern Home Cleaning will take photo's or Video's prior to and following the provided cleaning service of your property. Inherently for the purposes of liability, accountablility, Northern Home Cleanings Portfolio, use on NHC website, social media platforms, or the like. Northern Home Cleaning respects clients privacy and will NOT use photos or videos of your property with any identifying information, such as; names, portraits of household members, etc.

9. Acknowledgment Of Terms

Upon Booking the initial walk-through inspection and or cleaning service with Northern Home Cleaning, you will be required to sign this contract acknowledging that you have read and understood the terms in Northern home Cleaning Policy. Any changes to this policy will be communicated promptly to clients, a newly signed contract will be necessary to continue service. This contract expires 12/31/2025, unless this contract is revised by Northern Home Cleaning.
